Footprint Survey
Footprint Survey is a New Zealand surveying business run by Mingo Innes, providing professional surveying services with the typical cash flow and admin profile of a trades-based operation: job-by-job invoicing, subcontractors to manage, and a constant flow of transactions that need to be correctly coded and reconciled in Xero. The system worked — when someone was actually on top of it.
The Challenge
Mingo was doing the work but the books were running behind. Subcontractor invoices weren’t being loaded consistently. There was no structured month-end process, and GST periods were approaching without clean books to file from. He needed accountability and a reliable weekly process, not an occasional tidy-up.
Project Seven Solution
- Weekly bank reconciliation — all transactions cleared on a consistent schedule
- Subcontractor invoice processing: loading invoices into Xero as draft bills for Mingo’s approval before payment
- GST return preparation and filing (bi-monthly)
- Month-end process ownership: consistent close-out so each period is clean before the next one starts
- Monthly reminders to keep Mingo’s invoice collation and approvals on track
The Results
- Clean, reconciled books maintained week to week
- GST filed on schedule with no IRD penalties
- Mingo informed and accountable rather than chasing his own paperwork
