For starters, factor this in…if there is one lesson we’ve learned it is have project management software with a client portal feature. Using 2 solutions is a nightmare. Mixing and matching different tools sounds manageable until you’re chasing logins, missing updates, and your client’s asking “where’s that link again?” for the 47th time.

Here are our three favourite options that don’t suck for NZ service businesses (and won’t require a PhD in software):

1. Notion (Our Weapon of Choice)

Why We Love It:

  • All-in-One Workspace: Chat, tasks, notes, timelines, no more 17 tabs open.

  • Easy Sharing: Set up client-only pages, restrict access, or let them comment (or not, your call).

  • Low-Cost: The free plan covers a lot. Paid is still affordable for most.

What’s Not So Great:

  • Not Plug-and-Play: It’s a blank canvas. If you hate setting things up from scratch, you’ll need to grab templates (there are tons online).

  • Not “Client Portal” Out-of-the-Box: Some clients will need a quick walkthrough the first time.

  • No Native Branding: Your logo can go on, but you won’t get a totally white-labelled experience.

Best for:
Custom workflows, visual thinkers, people who want total control, or businesses already living in Notion.

2. ClickUp

Why We Love It:

  • Feature-Packed: Project management on steroids: tasks, timelines, docs, dashboards, automations. Built for teams who do a LOT.

  • Client “Guests” Feature: Share exactly what you want with clients and never worry about oversharing your messy backend.

  • Visual & Flexible: Kanban boards, Gantt charts, docs, lists.

  • Integrations: Syncs with everything: Google Drive, Slack, Zapier, the lot.

What’s Not So Great:

  • Busy Interface: There’s a lot going on. If you’re new, expect a learning curve.

  • Per-User Pricing: You pay for every seat, so bringing your team and multiple clients can add up.

  • Client Training: Clients might need a quick how-to, but it’s easier than most platforms.

Best for:
Project-heavy teams, agencies, ops nerds, or anyone who wants a “real” project management tool with true client views.

3. TidyHQ

Why We Love It:

  • Simple & Clean: Built for SMEs and consultants. Projects, tasks, meetings, files but nothing extra, nothing overwhelming.

  • Client Portal Included: Your clients get a branded dashboard that’s easy to use and not a pain to explain.

  • Quick to Set Up: Forget a week of onboarding. This is “get started now” territory.

  • Affordable: Tiered pricing for small teams and tight budgets.

What’s Not So Great:

  • Limited Customisation: It’s not a playground for workflow hackers. What you see is what you get.

  • Basic Branding: Some white label, but not as deep as expensive enterprise options.

  • Fewer “Power Features”: Great for standard client service, not for wild custom setups.

Best for:
Consultants, member-based orgs, SMEs who want a branded, no-fuss portal for client projects, files, and updates.

  • Professionalism, but Make It Easy: Sending clients to “the portal” for everything = instant credibility.

  • Stop the Email Chaos: Fewer lost attachments. No more “can you resend that?”
